Government Approvals Every event that takes place on City-owned property often requires some form of approval from the City of New York. Depending on the size and scope of an event, the process can include securing a Street Activity Permit to operate on a City street and coordinating with City agencies like the Departments of Transportation, Sanitation and/or the Police Department. These and many other steps are vital in ensuring a successful and smoothly run event. Certain major functions can also require coordination with, and approval by, the City’s Marketing Department and NYC & Company. Location Selection Finding pictures of great spaces in New York is easy, identifying those well suited for a particular event and gaining access to them can often be much more difficult if not impossible. Case Studies: L’Oreal Foundation Hairdressers Against AIDS (Multiple Locations): In 2010, the L’Oreal Foundation launched its Hairdressers Against AIDS campaign in the United States. The goal was to create a series of public events to raise national awareness of a program which educates hairdressers around the world to talk to their clients about HIV/ AIDS prevention. To achieve this, ESG helped secure permits from the City to place video booths in Times Square, Lincoln Center and 125th Street and approvals for the L’Oreal street teams to capture video of individuals walking in high-trafficked areas and talking about what they are doing to prevent HIV/AIDS. This video was immediately shown on the Reuters and NASDAQ billboards in Times Square. ESG also helped secure space and speakers for a press conference that featured a number of city officials and celebrities. The event was a resounding success having secured over 2 billion media impressions with appearances in national newspapers and TV news. Theory Outdoor Presentation of HAIR (Meatpacking District): In 2008, Theory partnered with the Public Theater to produce a mini production of the musical HAIR in the newly opened Gansevoort Plaza. Capalino+Company’s ESG, on behalf of Theory, worked closely with the City to secure the permits and approvals to shut down the streets in Gansevoort Plaza, reroute buses and bring in sound amplification equipment normally used for a Broadway show. Friends of the Highline (the Highline): In the summer of 2011, Friends of the Highline (FHL) – the non-for-profit organization responsible for overseeing the construction and maintenance of the internationally-renowned Highline Park – wanted to turn a lot on 30th street into a temporary roller rink and art space. ESG worked with FHL to secure a myriad of necessary permits and agency approvals including those from the Fire Department of New York and the Department of Buildings. In addition, ESG helped with outreach to the local Community Board and elected officials to ensure neighborhood support and partnership.
