Job Summary:
Capalino, the leading urban strategy firm, is seeking an Administrative Assistant to work across multiple practice groups and client engagements. We are experts in cities, combining knowledge in real estate, lobbying, strategic planning, market research, financing, social impact, clean energy, and sustainability.
The Administrative Assistant of Capalino is generally responsible for supportive services and is expected to expertly manage and support all administrative services of Capalino. Finally, the Administrative Assistant is expected to play a meaningful, active, and thoughtful role in the company’s culture looking out for employees and working as a team.
General Duties/Responsibilities:
- Act as the point of contact among executives, employees, clients, and other external partners
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meetings
- Make travel and accommodation arrangements
- Support office maintenance upkeep
- Format information for internal and external communication
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Performs other related duties as necessary or assigned

- Some understanding of Compliance processes and procedures
- Excellent written and verbal communication skills
- Excellent customer service skills
- Proficient in Microsoft Office Suite
Education and Experience:
- High School Diploma and or Bachelor’s degree in business or related field
- At least three years of related experience
